Upgrade Your Home Workspace on a Budget With These Essential Tips

During the height of the pandemic, many people spent a lot of time working from home and discovered that there’s room for change where their furnishings and decor are concerned. Fortunately, if you want to refresh your home workspace but don’t want to spend a ton of money, there are lots of options to choose from. Adding greenery, overhauling upholstery, and eliminating clutter are just a few things you can do to give your home office a facelift. Courtesy of The Virtual Consulting Firm, here are a few ways you can freshen up your workspace on a budget.

Clean Up

It can be difficult to truly see the condition your office furniture is in when you use it every day, so throw open the windows and let some natural light in while you look over your favorite chair. Upholstery stains aren’t always easy to clean at home, but if you’re not ready to give up on the piece just yet, you can take it to a pro. Look online for a local reupholstery company, but before hiring, ask them for customer referrals to get an idea of what you can expect. Just beware of pros who use all-in-one cleaning tools as not all stains and fabrics are equal. Also, be mindful of furniture warranties that may cover the cost of cleaning (or may end up voided in the process).

You can also invest in a stick vacuum cleaner that you can keep in a corner or small closet. That way, if a spill occurs or a two- or four-legged child brings in mud, you can get it cleaned up quickly and easily.

Get Rid of Clutter

Cleaning doesn’t just apply to your furniture. When you stay busy with work and home responsibilities, it’s easy to let things pile up on your desk. But clutter can have an adverse effect on your mood and leave you feeling distracted. Declutter your entire workspace by setting up a filing system that works for you and by adding organizational tools that will allow you to keep things neat, even if you have a small space. Renters might benefit from utilizing over-the-door organizers or hanging shelves that will make storage a breeze.

Lighten Up Your Space

Decluttering can lighten your mood, but you can also add a few things to your home office to make it a more comfortable space while also reducing stress. Greenery, natural or soft lighting, and soothing wall colors are just a few examples of things that will make your workload a little easier to bear. If you don’t like the idea of painting the walls to brighten your space, consider using custom wallpaper. This is a type of wallpaper that you can customize, allowing you to play around with designs. You can also use peel-and-stick options to create quick, replaceable accent walls.

You can also think about how to make your space more physically comfortable or health-conscious, such as adding a standing desk to prevent sitting for long periods of time or a footrest that will keep your spine aligned when you are sitting.

Ensure Productivity

Working from home can be a challenge, no matter how well you’ve designed your office space. There will always be distractions of some kind, especially if you have family members or pets at home while you’re working. The good news is, there are some easy ways to increase your productivity, such as investing in a new laptop.

You can also find a smart assistant that can help out with your calendar or a time tracker that can help you stay on task. You can also look for online resources that make your work easier — such as file-sharing services, communication apps, and email managers — so you can shave a few minutes off your workday.

Design for Functional Comfort

Carefully choose a workspace that maximizes your productivity instead of choosing to work at the dining table or kitchen counter. Making a space that is clearly for work will help you to compartmentalize more and avoid the blurring that can happen between work and personal life in a work from home environment.

The temperature of your workspace can also make a huge difference in your productivity. If you are too hot, you can become sleepy. If you are too cold, you will find it hard to focus. So take a moment to schedule an HVAC tune-up to ensure things are working properly and to prevent a possible breakdown when you most need it. But finding the ideal HVAC repair company is no small task. Look online for review sites and prioritize one that allows you to customize your search. Choose a few promising looking options and call around to inquire about pricing and service availability. Take note of their customer service, too, because these employees will likely be in and out of your home for a few hours. You want to make sure you’ll be comfortable with them there.

Creating the perfect home office doesn’t have to be expensive, and in fact, when you make certain upgrades, you can actually increase the appraisal value of your home. In addition to boosting your home’s value, making the changes outlined above can affect everything from your productivity to your mood. Make a list of the most important aspects of a home office for your needs and look at your current setup with a critical eye. Sometimes all it takes is a few small alterations to make a big difference.

Develop Your Growing Business in 5 Innovative Steps

Develop Your Growing Business in 5 Innovative Steps

Finding success as a business owner is cause for celebration, but “being successful” is not the goal in itself. Being content with the current state of your company will lead to stagnation and ultimately the downfall of your business. If you wish for your enterprise to continue thriving for many years to come, the solution is to continually develop through innovation. In the Internet age, innovating entails utilizing digital advancements and online resources to breathe new life into your company. The sheer possibilities may seem daunting, but you can start growing your business further by following a general roadmap of innovation.

Need help marketing, managing, and growing your business? Learn more about how The Virtual Consulting Firm can help you find success!

1. Adopt Cloud Computing

The best way to expand your business’s capabilities is by adopting cloud-based solutions. Cloud computing is the process of using remote storage or software as a service without maintaining expensive infrastructure within your own office. This makes it possible to complete tasks that are otherwise outside the scope of your budget. Because the cloud can be accessed from anywhere, incorporating cloud services opens up new opportunities for remote work for you and your employees.

Cloud-based accounting software is one example of how this particular frontier of digital innovation can serve you. This software makes it easy to send electronic invoices to clients, which in turn makes it easier for you to get paid on time. Implement accounting software that will provide options for organizing and storing receipts. This functionality will come in handy when applying for tax deductions and striving for legal compliance.

2. Use the Latest Marketing Techniques

Marketing is an essential and constantly-evolving area of business. Social media is at the current forefront of the business marketing field, so you must adapt innovative ways to capitalize on the platform. Instagram is a particularly effective medium for boosting brand awareness and showcasing your business’s values. Create Instagram posts that provide eye-catching visual content that can display the appeal of your products.

3. Prioritize Business Process Management

Many businesses today are turning to business process management (BPM) in order to improve efficiency and better utilize resources. But what exactly is BPM? Business process management is a system that helps businesses to optimize their processes in order to achieve specific goals. This can be done through a variety of methods, such as process mapping, process redesign, and process improvement. By utilizing BPM solutions/technologies, businesses can improve their overall performance by automating processes, reducing errors and waste, and improving communication and collaboration. In addition, BPM can help businesses to better understand their customers and meet their needs more effectively.

4. Invest in Big Data Analysis

Research is crucial for staying ahead of the curve, but many small businesses neglect to acknowledge the power of big data. Experts explain that analyzing big data can reveal hidden patterns or trends within an entire market.

Equipped with this information, you can optimize your processes according to your informed projections of consumer demand. This can help you hone in on effective marketing strategies and strategic release windows for new products.

5. Seek Strategic Acquisitions

Your business can enjoy lucrative growth through the power of effective marketing and data analytics. Coupled with the money-saving benefits of cloud computing and other efficient solutions, you may eventually have more cash flow than you know what to do with.

When you reach this point, you will have the opportunity to make huge expansions to your company in one fell swoop through mergers and acquisitions. Combining new teams and companies under your umbrella is an unparalleled way of introducing innovative new ideas to your overall business.

Every business starts out small, but it can work its way up in the world through innovation-driven leadership. Early success leads to opportunities for investing in technology and new techniques. When you adopt cloud software, invest in BPM and data analysis, market on social media, and look for strategic acquisitions, your company can become a powerhouse that leads its industry with bold ideas for the future.

Solve Your Top Inventory Issues to Spur Success

For anyone who deals with manufacturing, stocking supplies, or retail, inventory management is one factor that can make a major impact on your bottom line. With so many steps involved in the process of securing, receiving, stocking and shipping, it’s no surprise that inventory mistakes happen, but these mistakes can be costly and even hold your business back from growth. The good news is that most inventory problems can be prevented with the right tools and strategies. Here are some great tips from The Virtual Consulting Firm.

Issues with Filling Orders

Having happy customers is essential for building a strong business, because happy customers are the ones who return, plus they’re more likely to recommend you to their friends. And as Nicereply explains, those elements affect team morale.

For businesses that provide a service or sell a product, the customer experience starts with how well you’re able to deliver that service. This is why it’s so important to avoid fulfillment issues, such as customers receiving the wrong item or having to cancel an order because you don’t have enough stock to fill it.

Most customers will be somewhat forgiving, but the best line of defense is to prevent these mistakes from happening in the first place. Most often, order fulfillment issues happen when there’s a disconnect between what’s going in your warehouse and what’s happening in your main office (or store front).

The best way to avoid this disconnect is to use an inventory management system that keeps track of inventory updates and metrics in real-time. Additionally, you can keep your team focused by using easy repeated scheduling to enhance efficiency and ensure you have enough coverage on the warehouse floor to handle order fulfillments. By not doubling up or leaving gaps, you make the most of your team and stay better organized.

Finally, don’t rule out using process mapping to organize your project. By using a template from a company like Miro, you can create an easy-to-use, visually appealing process map that will help all of your team members understand exactly what needs to happen when you’re filling orders and managing inventory. By having everyone on the same page, you help reduce the possibility of human error throughout the process.

Discrepancies With Stock Counts

Using well-chosen warehouse management software can make a big difference in improving the accuracy of your stock count, but for times when your stock count is off, you’ll want to know what’s causing the discrepancy. To start with, choose a logical method for conducting inventory counts. Then, learn about the most common reasons for stock counts to be off. These issues usually come down to human error (inaccurate counts or mislabeling), loss due to damage or expiration, or loss due to theft.

When you have human errors in inventory counts, such as mistakes with recordkeeping or paperwork, these are usually easy enough to discover by reviewing your records. This is another reason why it’s so important to have a strong system for inventory management. Using the right software reduces the number of these mistakes, but when they do happen, having access to inventory data makes it easier to pinpoint the source of the problem.

If you’re having issues tracking your inventory, it may be time to call in a professional to help. You could hire a warehouse manager, or as an alternative, you could bring in a freelance ecommerce services professional to help build a web dashboard to manage your inventory. You can find candidates through online staffing agencies; simply look over what types of services they offer, reviews, and expected payment.

Sales Are Off… Or They Aren’t Increasing

Between inventory counts, you may notice that sales are slow, or your business may not be growing as fast as you’d like. Other times, as EazyStock points out, you may not even realize that obsolete inventory is sitting in your warehouse. These problems happen when you have too many of certain items, which eventually leads to a depreciation in the product’s value.

Some depreciation or obsolete inventory happens for virtually all businesses, but this is a number you obviously want to minimize since it amounts to lost revenue. Buying bulk quantities can work for you, but only under the right circumstances, and only if you can afford it. At the same time, you don’t want to experience the opposite of this situation: not having enough of an item to meet consumer demand. The problem with this scenario is that you’re losing out on potential sales. The solution for both of these problems is better forecasting, and to do this you need to have accurate sales data.

With all of these inventory problems, the solution almost always begins with having accurate data. Your success as a business owner isn’t built on one single action (or inaction). However, smart inventory management is one essential piece of the puzzle that you don’t want to miss.

How to Hire Effective Business Consultants

Saturday, November 6th, 2021

How to Hire Effective Business Consultants

Businesses hire consultants when they need industry insights, specialized skills, a second opinion, or objective input on business operations and strategy. Yet for some business owners, the idea of paying top dollar for consulting is a hard pill to swallow. There are a lot of myths and misconceptions about business consultants — that they tell you what you already know or that consultants are only for big corporations, not small businesses.

In reality, consultants deliver a lot of value to businesses big and small. However, businesses often fail to utilize consultants effectively and end up dissatisfied with the results. This happens when businesses hire the wrong type of consultant, don’t have a clear understanding of business needs, or choose a consultant based on price alone.

Before hiring a business consultant

Maximizing the value of business consulting requires a clear understanding of:

  • The problem the business is facing.
  • The needs of key stakeholders.
  • What success looks like.
  • The qualities of an effective consultant.
  • The skills or experience required to address the problem.
  • Your budget for consulting services.

A common mistake businesses make is starting at the last step and working their way up. You’ll hire a better consultant for your business if you start with what you hope to accomplish and then determine how best to get there.

Types of business consultants

Businesses have a lot of options to choose from when hiring a consultant. These are the most in-demand types of consultants for companies to hire.

IT consultants

IT consultants help companies maintain and repair systems, improve technological efficiency, and implement new technologies. An increasing number of small businesses are investing in cybersecurity consultants to protect against data breaches and ransomware attacks.

Marketing consultants

Marketing consultants include experts in branding, inbound and outbound marketing, social media, web design, and more. While large companies contract with full-service marketing agencies, smaller businesses tend to hire for targeted projects like using a local SEO consultant to improve visibility in local search results and direct customers to a brick-and-mortar location.

HR consultants

An HR consultant is a cost-effective solution for businesses operating with a limited HR department. HR consultants assist with recruitment, compliance, training, and human resource planning. Human resources consultants also help companies create policies and set strategy.

Management consultants

Management consultants help business owners and executives with high-level decisions surrounding operations, finance, and strategic growth. Management consultants usually specialize in a specific industry or niche such as tech, manufacturing, or agribusiness. Businesses can choose from independent consultants, small consulting firms, or large management consulting firms.

Where to hire a virtual consultant

The Virtual Consulting Firm offers a wide variety of quality virtual consulting services for businesses including advertising and marketing, management, information technology, human resources, project management, and more. Business owners can easily request a free quote online. Just describe your project, deliverables, and deadlines and you’ll receive an estimate for virtual consulting services.

Freelance marketplaces are another popular option for finding business consultants and specialists. Marketplaces like Upwork provide access to professionals around the globe at a variety of price points to accommodate all budgets. However, the abundance of options makes it especially important to screen freelancers for talent quality, delivery time, and reputation.

How to measure consultant ROI

Measuring the value that a consultant delivers is one of the most challenging aspects of working with business consultants. Key performance indicators tend to focus on financial metrics but the benefits of consultants are often intangible.

Intangible KPIs include things like business process efficiency, customer experience, brand reputation, talent pool, and competitive intelligence. While these metrics are harder to measure, it’s not impossible.

To effectively measure intangible KPIs businesses need software solutions that gather and process data on key business processes. Core software solutions for businesses include enterprise resource planning (ERP), customer relationship management (CRM), project management, and human resource management (HRM) platforms.

Running a business is a complex undertaking. There are a variety of occasions when business owners benefit from additional expertise and an outside perspective. However, hiring a consultant won’t pay off without a clear understanding of business needs and deliverables. Before investing in business consulting services, know what you hope to gain and how your choice of consultant will help you get there.

Are you ready to hire a consultant for your business? The Virtual Consulting Firm is available for all of your business consulting needs. Learn more about services at The Virtual Consulting Firm and request a free quote online.

Why the Name of Your Business Matters

Why the Name of Your Business Matters

In business, your name does matter from both a business standpoint and for your marketing strategy. It’s like meeting someone for the first time and processing that all-important first impression — your company’s name is the equivalent of that first impression. It should also make a statement about your brand, both in what you provide and your personality. Would you feel confident if your local emergency clinic was called “In ‘N Out Express?”

This article is brought to you by The Virtual Consulting Firm, which provides information and services to help you market, manage, and grow your business virtually.

What do you do and how you do it

Your business name is the start of building your brand, which is what makes you distinct from competitors and defines your business personality. Consider “Toys R Us,” for example — it clearly defines what it sells, and the colors and styles they use are childlike, fun, and distinctive or memorable.

However, not every business is so lucky as to have its products or services so clearly defined. Someone may set up a business that later provides multiple business lines or services. For example, you may set up a business selling lawn and garden items, and then later branch out to sell all-natural products and essential oils. There’s a loose connection, but the same name wouldn’t make sense. In this case, it may make more sense to have a legal business name and then create a fictitious name — or a DBA (“doing business as”) — for a specific and separate business line. You can select a DBA that clearly defines what it is you do or sell.

You want to also create a distinct logo for your business. Adobe Spark is a free logo design tool you can use to create ideas and try them out. As you go along, try out several different ideas to shape and create a logo that stands out and makes you unique.

Your other marketing consideration is your online presence. Can you find and reserve a domain name that exactly (or even just closely) reflects your business name? If not, your customers or clients may have a hard time finding you, and it offers up some marketing challenges. You can attempt to buy your desired domain name from whoever owns it, but once someone knows they have something you want, they are in a position to name an asking price. You may be better off selecting a name that will work with currently available domain names.

Legal nuts and bolts

You will also want to select a name that is distinct from other business names, especially if they are in the same type of business as you are. This not only gives you a competitive edge by making it easy for your customers and clients to find and identify you, but it allows you to trademark your name and logo for additional protection.

This is the part that can get tricky, as trademarking involves following both state and federal laws. You can search for existing trademarks through the United States Patent and Trademark Office, as well as register your own. But before doing so, you have to follow your state regulations that oversee business naming. Such regulations could include prohibiting certain words, such as those that imply any affiliation with a government agency. You may also need to select a distinct name from another business incorporated and operating in that state — how distinct will vary by state.

If the name fits. . .

Naming a business can be like naming your child. Your business is, after all, an entity of your creation and one that is at least a partial reflection of you. You will want to do it justice from an operations standpoint, and that starts with a name.

Learn how virtual consultants can help you run your business more efficiently without having to hire personnel on the ground. Also, you can become a virtual consultant to help spread your reach.

Nonprofit Management and Compliance

Once you’ve launched your nonprofit organization, these resources will help you to manage your team and comply with IRS requirements.

  • Take some time to understand nonprofit governance, risk, and compliance (also known as GRC).
  • Keep good records and stay on top of all financial statements, tax returns, and board meeting minutes.

Five Steps to Becoming a Digital Nomad

Five Steps to Becoming a Digital Nomad

While the pandemic has introduced many challenges, it has also inspired innovation. Around the world, businesses started working remotely in response to lockdown. Even though the economy has started to stabilize, many businesses continue to encourage remote work.

The future of remote work appears to be a permanent adjustment, and this has a direct impact on the business landscape. Another development has been the rise in the number of digital nomads. If you’re a budding entrepreneur with the desire to start your own business and work remotely, then now is the time. In order to enjoy the many benefits of the lifestyle, proper preparation is needed. Here are five basic steps to start working as a digital nomad, brought to you by The Virtual Consulting Firm.

Identify Your Working Role

Many businesses allow their employees to work remotely. Normally, this means working at home or at coffee shops, but within the same city. In some instances, employees are able to travel to further-flung areas. Another way to support yourself as a digital nomad is to start your own freelance business. Forming a limited liability company (LLC) offers several benefits for freelancers. Some benefits include the following:

  • Tax advantages such as pass-through deduction
  • Limit personal liability
  • Less paperwork and admin
  • Flexible structure for profit sharing and management

Each state demands its own regulations and legal requirements. Hiring the help of a formation service such as ZenBusiness ensures that all requirements are met, without having to pay hefty lawyer fees.

Make the Necessary Preparations

Working remotely demands a shift in how business is conducted. There are certain steps needed to ensure that you have everything that you require for a productive working environment — whether you’re working at home or 500 miles away.

Some preparations to consider include:

  • Digital nomad gear such as laptops, chargers, and power banks
  • All necessary documentation for travel
  • Lifestyle adjustments and how to adapt
  • Availability of a productive workplace

Improve Skills for Remote Work

Working remotely removes the opportunity for water cooler conversations and in-person contact. When preparing to be a digital nomad, it’s important to take stock of your existing capabilities and which skills need to be refined. Certain skills are needed to find success while working remotely. Some areas to focus on include computer literacy, using technological tools, communication efforts, and self-discipline.

Reduce Unnecessary Costs and Items

Saving costs is an important step in setting yourself up for remote work. In many ways, working as a digital nomad demands a minimalist lifestyle.

There are several ways to reduce unnecessary costs and declutter your lifestyle. The following tips can help you save costs and improve profit, as well as help to move from one location to another without much effort.

  • Sell non-essential items
  • Rent belongings and assets for extra income while on the road
  • Streamline your wardrobe and gear

Adapt Your Budget for Travel

While you may not be paying for office space or commute, you will incur travel costs. Working as a digital nomad demands that your budget is adjusted and updated. Certain costs to consider include airfare, reducing costs on accommodation, and paying for visas.

When registering your business as an LLC, you have the added benefit of putting those costs through the business account.

Working remotely as a digital nomad offers increased flexibility, inspiration, and productivity. A little bit of effort can go a long way in streamlining the process and enjoying the benefits.

The Sooner You Know Your Financial Projections The Better

Sunday, August 8th, 2021

Do you want your business to be successful a year from now, 5 years from now, or even longer? Are you thinking about expanding your business by finding investors? If you answered yes to one or both of those questions, it’s essential that you create realistic financial projections for your business. Without these projections, or with unrealistic projections, neither investors nor lending institutions will take you seriously — let alone provide funding.

Even if investors aren’t in your plans, creating realistic financial projections is extremely helpful in your longevity as a successful business. Read on to ensure you’re on the path to success.

The Ins and Outs of Financial Projections

Whether you’re managing your bookkeeping yourself or you’ve got a bookkeeper or an accountant, understanding the ins and outs of financial projections and what it means for your business is essential. No, you don’t have to know everything, but understanding the basics will help you through conversations with potential investors and even your current or future accountant or bookkeeper.

As The Startup Garage explains, “Your financial projections give you an idea of how your business should be doing at any moment in time. It also shows your potential investors how you will be profitable over time.” Businesses that succeed plan for the future, and they are realistic about how things are currently and where they are heading.

But, don’t stress. You can keep your financial projections simple with some strategic spreadsheet usage or use software to help make sense of the numbers. Here are a few common spreadsheet types to get you started: equipment list, balance sheet, profit and loss statement, cash flow projections, sources and uses of funds. While not every business needs all of these statements, these are a good starting point.

Software tools can make it much easier, like PocketSmith, ProjectionHub, or Adaptive Planning. Whichever method you choose, taking the time to understand where your company is at and where it’s headed will help you plan for a successful future, with or without investors.

Inventory Management

A key piece of your financial projections includes inventory management. This means tracking inventory from the ground up to the point of sale. The ultimate goal for your inventory management process is to have the right products in the right place at the right time.

Having a working understanding of your inventory management is one of the most critical pieces to your financial projections. In addition, these types of projections can help your business reduce inventory costs and streamline the whole supply chain process.

It’s not unusual for small businesses to keep track of stock manually and determine the reorder points and quantities in a spreadsheet. Larger businesses will use specialized enterprise resource planning (ERP) software.

In addition to using software for creating and managing your financial projections, automated inventory management software keeps your inventory organized with automated order management and in-store tools like barcode scanners, low-stock alerts, and fulfilling orders from multiple storage warehouses.

The data from such a system can prove invaluable. Because you have easy access to your current inventory and detailed reporting of your inventory history, it makes it easier to mesh realistic inventory projections with your financial projections. This means avoiding costly mistakes, like stocking an excess of items or running out of hot products and thereby missing sales.

Creating realistic financial projections, including detailed inventory management data, sets your business apart and prepares you for a long, prosperous future. In addition, access to software tools that automate processes and provide detailed reporting will make your financial projections easier to manage now and for years to come.
